A Guide to Diagnosing Common HVAC Failures

Heating, Ventilation, and Air Conditioning (HVAC) systems are essential to maintaining comfort in businesses, ensuring you stay warm in the winter, cool in the summer, and breathe fresh air year-round. However, like all complex systems, HVAC units can sometimes malfunction. Knowing how to diagnose common HVAC failures can save time, reduce repair costs, and even prevent further damage to your system.

In this blog, we provide a comprehensive guide to diagnosing common HVAC failures, helping facility managers identify problems, and determining when it’s time to call a professional.

Common HVAC Failures

Common HVAC failures can disrupt comfort and efficiency, but understanding their causes can help you quickly identify and address issues.

Below are a few of the most common HVAC failures:

HVAC System Won’t Turn On

One of the most frustrating issues is when the HVAC system fails to start. Before calling for a technician, you can perform a few simple checks:

Check the Thermostat

Sometimes, the issue is as simple as the thermostat being set incorrectly. Ensure it’s turned on and set to the desired temperature. If your system is programmable, ensure it hasn’t been accidentally set to an off mode or is in an energy-saving setting.

Inspect the Circuit Breaker

HVAC systems are powered through a dedicated circuit, which can trip if there’s an overload or electrical issue. Check your breaker box to see if the circuit for the HVAC system is tripped. If it is, reset it and try turning the system on again.

Check the Fuse or Switch

If your HVAC system has a fuse or safety switch, verify that it’s intact and operational. A blown fuse or a safety switch that’s in the off position can prevent the system from operating.

If these checks don’t resolve the issue, the problem could be with the internal components of the HVAC system, such as the control board, compressor, or other electrical parts, requiring professional attention.

System Blows Warm Air When Cooling

During summer months, your HVAC unit may sometimes blow warm air even when it’s set to cool. If this is happening, consider the following potential causes:

Dirty Air Filter

A clogged air filter restricts airflow, reducing the system’s ability to cool the air effectively. Check the air filter and replace it if it’s dirty. Regular maintenance of air filters is key to ensuring smooth operation.

Refrigerant Leaks

Low refrigerant levels are one of the most common reasons for inadequate cooling. If the refrigerant is leaking, the system won’t be able to absorb enough heat from the air. This requires a certified HVAC technician to locate and fix the leak, then recharge the refrigerant.

Thermostat Issues

If the thermostat is malfunctioning, it might not be sending the correct signals to the system, causing it to blow warm air. You can check by replacing the thermostat’s batteries or recalibrating the device, if applicable.

Frozen Evaporator Coils

If the evaporator coils freeze, the airflow can become restricted, leading to inadequate cooling. This is often caused by low refrigerant levels, a dirty air filter, or poor airflow. Turn off the system and allow the coils to thaw. If the problem persists, a technician will need to examine and fix the underlying issue.

Strange Noises From the HVAC System

HVAC systems generally operate quietly, but if you start hearing unusual sounds, it may indicate a problem. Common noises and their possible causes include:

  • Banging: A banging noise could be the result of a loose or broken part, such as a blower wheel or motor. A loud banging might also indicate a mechanical failure inside the unit.
  • Rattling: Rattling noises often come from loose components, such as screws, panels, or ductwork. Inspect the system for any parts that need to be tightened or reattached.
  • Squealing: A high-pitched squeal is often a sign of a failing blower motor or a worn-out fan belt. In this case, the motor may need lubrication, or the belt may need to be replaced.
  • Hissing: A hissing sound may indicate a refrigerant leak or an issue with the expansion valve. Refrigerant leaks can reduce cooling efficiency, so it’s crucial to have this inspected by a technician immediately.

The HVAC Unit Is Running But Not Cooling or Heating

If your HVAC system is running but it’s not providing the expected heating or cooling, the issue may be more complex:

Damaged Compressor

The compressor is responsible for circulating refrigerant throughout the system, enabling it to absorb and release heat. A broken compressor won’t allow the system to properly cool or heat the air. If the compressor is at fault, it often requires professional repair or replacement.

Clogged Condensate Drain

A clogged condensate drain can lead to water buildup inside the unit, affecting its ability to regulate temperature. This can also cause damage to other components like the evaporator coils.

Faulty Ductwork

Leaky or poorly insulated ducts can cause cool or warm air to escape before it reaches its destination. In this case, air balancing, sealing, and insulation might be required to resolve the issue.

Failed Capacitor

The capacitor is responsible for giving the HVAC motor the initial power needed to start up. A faulty capacitor may prevent the system from starting, or it may run erratically. If the capacitor is bad, it will need to be replaced.

Early HVAC warning signs, such as water leaks, rising utility bills, and uneven heating or cooling, can mean trouble. Learn how to spot them.

Poor Airflow or Inconsistent Temperature

When airflow is weak or inconsistent, the system’s performance is affected. Possible causes include:

  • Dirty Air Filters: As mentioned before, a clogged air filter restricts airflow and reduces efficiency. Replace air filters every 1-3 months, especially during periods of heavy use.
  • Blocked Vents: Check to make sure all supply and return vents are clear of obstructions. Furniture, rugs, and curtains can block airflow, causing uneven temperature distribution.
  • Faulty Blower Motor: A malfunctioning blower motor can lead to weak airflow. If the motor is faulty, the system may struggle to circulate air effectively, leading to hot or cold spots.
  • Duct Leaks: Leaky ducts can cause a significant loss of conditioned air, leading to poor airflow and temperature fluctuations. Duct sealing is an effective solution to address this issue.

When to Call a Professional

While it’s helpful to understand the basics of diagnosing common HVAC issues, many HVAC problems require professional expertise. If you’ve checked the simple solutions and the system still isn’t working properly, it’s time to call a licensed technician. A professional can perform a thorough inspection, safely handle refrigerants, and fix complex issues like compressor problems or refrigerant leaks.

Regular maintenance can also help prevent many of these issues from arising in the first place. Scheduling routine inspections, cleaning, and filter changes can extend the life of your HVAC system and ensure it runs efficiently.

Solve Common HVAC Failures With an Expert

Understanding how to diagnose common HVAC failures can empower you to troubleshoot issues effectively and minimize costly repairs. However, remember that some problems are best handled by trained professionals.

For business owners, a malfunctioning HVAC system can be more than just an inconvenience—it can disrupt daily operations, reduce employee comfort, and even affect customer satisfaction.
